Austin Engineering first approached The Solution Collective to discuss their vision for bringing the global workforce together via a new Document Management platform – based on SharePoint Online. Through a number of acquisitions, Austin has staff spanning 5 continents – but each company had their own processes and systems for managing content. The goal was to introduce a consistent way of managing and disseminating information for all staff, to harmonise those disparate processes and systems.
Our project with Austin engineering was run using an Agile Scrum based system – with work taking place across a number of 2-week Sprints. An online backlog of work was shared with Austin, which enabled smooth collaboration and prioritisation of project activities. An exciting new innovation we piloted on this project was to release demo videos to Austin at the end of each Sprint – and this enabled Austin stakeholders to quickly understand and test new functionality, and to provide rapid feedback.
The Solution Collective delivered global, multi-lingual Intranet and Document Management System that is now being used by Austin Engineering’s staff around the world. The platform includes targeted news based on geographic location and division, and a system of smart alerts to notify users when documents have been updated.
The jewel in the crown for Austin, is the fully customised search interface – which makes finding company information significantly easier, with the use of refiners, tags and bespoke results pages designed specifically for the organisation.
The project was delivered ahead of schedule, and within budget – and has been really well received by the business.
“This project with Austin was one of my favourites from the last year, in part due to the technology we got to work with – but also due to some innovations we piloted in terms of project delivery. From the technical side of things, we really went the extra mile when configuring and customising the SharePoint Search functionality – and the resulting document search portal works incredibly well for finding the right document quickly.
In terms of project delivery, I’d recently completed a SCRUM refresher course – so it was the perfect opportunity to improve the way we run our development sprints, and collaborate with the client (and I think the project getting delivered ahead of schedule is testament to that. I also really enjoyed recording video based ‘release notes’ at the end of each sprint, and I think Austin found the accessibility of the videos very beneficial – and helped to accelerate their understanding of new features, and their ability to test them.”
